Lead follow-up automation for real estate agents.
I build lead follow-up and CRM automation for independent agents and small agencies who lose deals between the form, the CRM and the first reply — and I guarantee the deliverable, not your business results.
Who it's for
Independent agent, agency or local franchise
You already pay for a follow-up stack (Follow Up Boss or GoHighLevel), but the glue between it and your CRM is still copy-paste. You lose leads because the first reply is manual and slow — not because you lack the tools.
Independent agent (solo, or 1–4)
You answer leads yourself, between showings. Lead volume has outgrown what you can answer fast, so deals go cold in the first minutes — nights, weekends, while you are on a viewing.
Agency / brokerage, 5–30 agents
You are recruiting and onboarding agents who do not follow up consistently. You cannot enforce response time by hand, so leads get round-robined slowly and listings go to faster competitors.
Local franchise office
You are rolling out one standard lead process across offices. Follow-up is inconsistent between branches, and head office wants every lead handled the same way.
Packages
Three packages, one clear scope
Fixed prices, fixed scope. What is not included is written down as clearly as what is.
Lead flow audit
€490 / $540fixed
3–5 business days
I map your lead flow and show you exactly where you lose leads between the form, FUB/GHL and follow-up — with the 3 automations worth building and an estimated ROI, before you spend a euro on build.
What's included
- 1–2 working sessions (max 3 hours total) with you or your ops person.
- A map of up to 3 lead journeys end-to-end, as they run today: source (portal, Facebook/Google Ads, website) → form → CRM (FUB/GHL) → first reply → follow-up → viewing booking.
- At least 3 automation candidates, each with the step removed, lead volume/frequency, the current cost of the manual gap (response time, missed leads), build cost and 12-month ROI.
- A clear priority: what to build first and why.
What's not included
- Any implementation.
- Access to your systems (I work from your description plus anonymised screenshots).
- Code or integrations with systems that have no API.
The audit document (PDF + Markdown source) with the lead-flow map and the 3 candidates, plus a 30-minute walkthrough call and a firm recommendation — build one of them, or build nothing. No hidden upsell.
Lead follow-up build
€2.400 / $2.650fixed, one standard flow
2–3 weeks, checkpoint at the end of week one
I take one lead flow from manual to production: new lead → first reply in under 5 minutes → qualification → viewing booking → CRM sync. Built, tested, documented, with 30 days of fixes.
What's included
- One end-to-end “standard” flow: up to 3 existing apps (FUB / GHL / Zapier / n8n / Make + your portal or site form), up to 15 steps, no custom code over 200 lines.
- Typical: a new lead from Zillow/Facebook/Google Ads or your website form → instant reply → qualification question → viewing scheduling → CRM updated with a follow-up sequence.
- Built on the right tool (n8n / Make / Zapier), decided with you up front.
- Tested on sample data (not real client data), including the error case.
- A runbook: what the flow does, what can break, what you do when it breaks, how to stop it.
- 30 days of fixes on the delivered flow (bugs, not new features).
What's not included
- Other flows — each additional flow is a separate build, quoted before start.
- Licences, infrastructure, or third-party accounts (n8n hosting, paid APIs, domain, etc.).
- New features requested after delivery (those go to the Retainer or a new build).
- Integrations with systems that have no API and no export — if it cannot be automated cleanly, I tell you before, not after.
The working flow in production on your account, the flow export/source (you own it — no lock-in), the operating runbook, a 45-minute handover demo, and 30 days of fixes.
Ops retainer
€790 / $870per month, fixed
monthly, cancel with 30 days notice — no minimum period
I monitor your automations in production, keep them alive and make up to 2 changes a month, so you are not stuck when a tool changes.
What's included
- Continuous monitoring of the delivered flows, with an alert when something breaks.
- Up to 2 changes a month (a “change” is one targeted edit: a new step, a condition, an extra field — not a new flow).
- A short monthly report: what ran, what broke, what I fixed.
- Priority contact (reply within 1 business day).
What's not included
- New flows — those are separate builds, quoted separately.
- Uptime guarantees on third-party tools (n8n/Make/Zapier, FUB/GHL, others’ APIs) — I monitor and alert, I do not control their infrastructure.
- 24/7 support or weekend response.
The monthly operations report, updated and documented flows (runbook kept current), and the peace of mind that you are not the one who has to fix the broken workflow.
Proof
Built and delivered, not promised
Three things I have actually shipped, mapped onto the real estate lead flow. Names and clients anonymised — and, honestly, none of these is a paying real-estate client yet.
A record is never trusted until it is read back
A lead written to the CRM must land in the right field, with the right source and follow-up step — never mis-filed. The discipline: verify every write by reading it back.
Result: A scripted end-to-end pipeline (upload → create → set price → publish → read back the live page) confirmed every write with an SHA-256 checksum match and an HTTP 200 landing page showing the right title and price. 5 records published with zero mis-priced or mis-uploaded entries — the same write-then-verify discipline I apply to lead → CRM sync.
Proof from our own production fleet, not a real-estate client yet (digital-catalog pipeline, readback log per record).
Follow-up that never double-sends, with a kill-switch
A lead can never receive the same message twice, and the broker can stop the flow with one switch if something looks wrong.
Result: An automation layer with activation flags (off by default), an audit log per action, and a global kill-switch. First run delivered exactly 1 reminder + 1 audit row; second run = 0 (idempotent, zero duplicates); kill-switch on = 0 sends. Two real defects caught and fixed before exposure — the exact discipline an agent’s follow-up flow needs.
Proof from our own production fleet, not a real-estate client yet (reminder/audit automation, audit table + QA report).
Changing a live flow safely, with rollback
You can change a live lead flow — a new follow-up step, a condition, an extra field — without breaking it, and roll back in minutes.
Result: A release procedure: build from an exact commit, cutover with a rollback handle kept (image + tag), additive migrations, smoke tests right after cutover, continuous error monitoring. Zero observable downtime, 0 container restarts, 0 new 5xx errors. The same discipline applies when I edit your live FUB/GHL flow.
Proof from our own production fleet, not a real-estate client yet (release procedure, release note with SHA + rollback handle).
FAQ
Questions, answered straight
We already have Follow Up Boss / GoHighLevel.
FUB and GHL are good tools — the problem is not a missing tool, it is what happens in front of it: a lead answered after two hours is already dead in real estate. I do not sell you another CRM; I build the flow in front of it — reply in under 5 minutes, qualification, viewing booking — all written into the CRM you already have. Often you are paying $69–$497/month for the tool and still losing leads in the first quarter-hour; the €490 audit shows you exactly where.
Why not just use ChatGPT or an AI tool?
ChatGPT does one step, not a whole process — it does not reply by itself in 30 seconds to a new portal lead, does not write into FUB/GHL, and does not know what to do when a step fails. I build you a flow that runs on its own, on schedule, with error handling and an operating runbook. The difference is between “I generate a text” and “a system that answers first, every time”.
What do you actually guarantee?
I guarantee the deliverable: what is written in the package, delivered on time, tested and documented — if it is not working to the agreed scope, I fix it within the fixes window. I do not guarantee business results (viewings, commissions), because those depend on your leads, the market and how your agents work, not on automation alone. That is why we start with the audit — so we know together what is worth building.
How do I know I am not locked in after you leave?
You get the flow source/export (you own it — not captive), a runbook that explains what it does and how to stop it, and a handover call. If you want someone available long-term, that is exactly what the retainer is for. For 30 days after delivery, any bug on the delivered flow is fixed at no extra cost.
Can you connect the flow to my lead sources — Zillow / Imobiliare.ro / Facebook Ads?
Yes, those are exactly the sources we build for: the portal or site form, the Facebook/Google Ads lead form, the “book a viewing” form — each has an entry point the flow catches immediately. If a source has no API or export, I tell you before, not after, and propose an alternative.
